access: technology is an assistive technology consultancy service, based in Ripon, North Yorkshire. We support children and adults with disabilities to become more independent through the use of assessment, provision of technology, intervention and training. 

We are recruiting for an Executive Assistant to support the Director of our excellent Assistive Technology Consultancy practice.

We work with clients in both their home and school environments to provide technology solutions, advice and guidance that will support and enable communication, entertainment, learning and independence.  

The majority of the clients we work with have a disability as a result of clinical negligence or an injury sustained as a result of an accident. This means that in most cases, we are appointed alongside a team of professionals from other disciplines under the instruction of a solicitor. 

At access: technology we feel it is of utmost importance to ensure that we work alongside and build good working relationships with members of our client’s multidisciplinary team. In addition to parents and carers, this may include case managers, solicitors, teachers, learning support staff, physiotherapists, occupational therapists, speech and language therapists, neuropsychologists and education consultants.

Duties & Responsibilities

As the Executive Assistant at access: technology you will be required to:

  • Work 21 hours per week at our Newby Stables Office, managing own diary
  • Support the Director in the undertaking of their duties, including:
    • Minute taking
    • Managing calendar and appointments
    • Proactively assigning tasks for completion
    • Triaging email inbox for importance and urgency
    • Other duties as CEO of Level Up charity
  • Be the first point of contact for enquiries
  • Maintain company handbook
  • Manage company IT admin accounts
  • Manage company car maintenance and contracts
  • Collate and manage Client personal data
  • Monitor Client reporting and tracking procedures
  • Undertake general housekeeping to ensure the office environment is well organised, clean and tidy
  • Receive, sign for and organise post and storage of deliveries
  • Manage consultant CPD as directed by:
    • Researching relevant training courses
    • Completing booking forms
    • Keeping a log of all employee CPD to inform consultant annual appraisals
  • Manage consultant travel, hotel and meal arrangements
  • Contributing to the development and implementation of policy, procedures and evaluation mechanisms to inform the quality enhancement of service delivery
  • Maintaining and managing an asset register for the company
  • Providing logistical support for consultants and directors for client appointments, training and meetings
  • Assist in promoting the work of the company, including developing and maintaining relationships with members of the public, potential stakeholders and supporting services
  • Keep shared calendar up to date
  • Liaise closely with other staff members at access: technology, attending regular face to face meetings 
  • Mange staff holidays in line with company policy
  • Support Directors with the recruitment, selection, orientation, and training of new employees
  • Support Directors in preparation for consultant supervisions and appraisals
  • Develop the company’s online social media presence
  • Complete any other reasonable duties that may be allocated from time to time commensurate with the grading of the post, or that may arise as internal policy and procedure develop

  • Debit card for making client equipment orders where funds have been made available, up to £10,000
