Privacy notice
Last updated: 15 October 2026
This notice explains what personal information we collect through our website, by email and by phone, and what we do with it. If we go on to work with you or your client, our Data Protection Policy covers the information we hold as part of that work. You can ask us for a copy. If you apply for a job with us, our recruitment privacy notice applies instead.
Who we are
access: technology is the trading name of Access Technology North Ltd, a company registered in England (company number 10624121). Our registered office is 18 Newby Stables, Ripon, North Yorkshire, HG4 5AE.
We are registered with the Information Commissioner's Office (ICO) as a data controller. Our registration number is ZA246364.
What we collect and why
Contact form. When you send us a message through the form on our contact page, we collect:
- your name and email address (required);
- your phone number, role, organisation and who referred you (optional);
- your message.
We use this to reply to your enquiry, and to see which organisations and people refer to us.
Please don't put medical details, reports or other sensitive information in the contact form. If we go on to work together, we'll ask for what we need through our referral process.
Email. If you email us, we keep your email and our replies so that we can deal with your enquiry.
Phone. If you call 01765 824971, we may note your name, number and the reason for your call so that the right person can call you back. For calls we miss, we use voicemail and Moneypenny, a call-answering service that takes messages for us. Either way, your details are recorded so that we can call you back.
Newsletter. If you sign up to our newsletter on the home page, we collect your email address and use it to send you the newsletter. You can unsubscribe at any time using the link in every email.
Website analytics. Our website uses Google Analytics to understand how visitors use the site, for example which pages are visited. We use it only to improve the site. Google Analytics uses cookies. Google collects the information for us and gives us statistics about how the site is used. You can object to this at any time. To stop Google Analytics, install Google's opt-out add-on, or block cookies for this site in your browser settings.
Our legal basis
- Replying to enquiries and keeping records of them: our legitimate interest in responding to people who contact us and running our business.
- Website analytics: our legitimate interest in understanding how our website is used, so that we can improve it.
- Newsletter: your consent. You can withdraw it at any time.
If you send us health information even though we ask you not to, we'll only use it to deal with your enquiry.
Who we share it with
We don't sell your information. We use these service providers to run our website and communications, and they handle information on our behalf:
- Web3Forms, which sends contact form messages to our inbox;
- hCaptcha, which checks that contact form messages are sent by a person;
- Google Workspace, for our email;
- Moneypenny, a call-answering service that takes messages when we miss a call;
- Mailchimp, for our newsletter;
- Google Analytics, for website statistics;
- Vercel, which hosts our website. It records visitors' IP addresses in its logs, and newsletter sign-ups pass through it on their way to Mailchimp.
Some of these providers are based in, or process information in, the United States.
We only share enquiry details with other professionals, such as a case manager or solicitor, when you've asked us to or it's needed to deal with your enquiry.
Use of AI tools
This section covers website visitors and people who contact us. We use secure, business-grade AI tools, including meeting note-takers, to help us write notes and reports. These tools work under contracts that stop your information being used to train AI, and a member of our team checks what they produce. We don't use AI to make automated decisions about people who contact us through our website, by email or by phone.
Applying for a job? We screen job applications automatically with an AI tool. Our recruitment privacy notice explains how this works and how to ask for a human review.
How long we keep it
We don't keep personal information for longer than we need it. We keep enquiries for as long as we need them to deal with the enquiry and keep proper records. If you unsubscribe from the newsletter, we stop sending it to you.
Your rights
Under UK data protection law, you have the right to:
- be told how we use your information (this notice);
- ask for a copy of the information we hold about you;
- ask us to correct it if it's wrong;
- ask us to delete it;
- ask us to restrict or stop using it;
- object to how we use it;
- ask for your information in a format you can take elsewhere;
- not be subject to decisions made only by automated means, without safeguards such as human review (we don't make automated decisions about website visitors; for job applications, see our recruitment privacy notice).
